1. Introduction

COAListing Board ("we") respect your privacy. This Privacy Policy explains how we collect, use, store, and protect personal information shared by users of this platform, including registered property agents and visitors who fill in forms on our website or an agent's personal website.

2. Information We Collect

Depending on how you use this platform, we may collect:

• Registered agents: name, phone number, email, REN number, agency name, profile photo, and listing information you enter.
• Owner/Buyer (via the "Want to Sell?" / "Want to Buy?" forms on an agent's personal website): name, phone number, desired location/area, property type, and any additional notes you voluntarily provide.

3. Use of Information

The information collected is used solely to:

• Enable property agents to manage listings and contact prospects (owners/buyers) who fill in forms
• Match buyer requirements (WTB) with suitable listings
• Send notifications related to your account (e.g: account approval, password reset, listing reminders)
• Improve the functionality and experience of this platform

We do not sell your personal information to third parties.

4. Information Sharing

Information you submit via the "Want to Sell?" or "Want to Buy?" forms on an agent's personal website is shared only with that agent, for the purpose of contacting you regarding your property needs.

5. Data Storage

Data is stored in a secure database on our hosting servers. We take reasonable steps to protect your information from unauthorized access.

6. Your Rights

You have the right to request access to, correction of, or deletion of the personal information we hold about you, subject to Malaysia's Personal Data Protection Act 2010 (PDPA). To make a request, please contact us via the WhatsApp link provided on the relevant agent's page, or contact the platform administrator.

7. Connected Facebook, Instagram and Threads Accounts

Agents may choose to connect a Facebook Page, the Instagram professional account linked to it, and a Threads account. This is optional and is done through Meta's own login screen, where the agent picks the accounts and the permissions to grant. We use that access for two things only: (a) to publish the agent's own property listings to those accounts when the agent adds a listing or presses Repost; and (b) to show the agent the comments people leave on their Facebook Page so they can reply to or hide them from this platform, including an automatic reply the agent can switch on and word themselves.

What we store for a connected account: the Page ID and name, the Instagram and Threads account ID and username, the access token Meta issues for that account, a count of the posts made (to enforce a daily limit), and the ID of each comment that was auto-replied (so it is never answered twice). Comments themselves, and the names of the people who wrote them, are read from Facebook when the agent opens the page and are not stored by us. We do not read private messages, we do not use this data for advertising or profiling, and we do not sell it or share it with anyone.

8. How to Delete Your Data

To remove a connected account: log in, open My Auto-Post, and click Disconnect next to Facebook Page or Threads. The stored IDs and access tokens for that account are deleted immediately (disconnecting the Facebook Page also removes the linked Instagram account). You can also revoke access from Meta's side at any time, under Facebook Settings > Business Integrations, or Threads Settings > Account > Website permissions. To have your whole account and all information we hold about you deleted, send a request through the Support page after logging in, or through the WhatsApp contact below; we delete it within 30 days and confirm once done.

9. Cookies & Sessions

This platform uses basic sessions to enable login functionality. We do not use third-party tracking cookies for advertising purposes.

This Privacy Policy may be updated from time to time. Any changes will be posted on this page.
